Liverpool
Screen School, Terms and Conditions, Equipment Loans, 2025
1. Purpose of Terms and Conditions
Liverpool Screen School (LSS) operates a system where students can hire specialist production equipment for degree modules undertaken at LSS. These terms and conditions ensure all LSS students have access to the latest technology to support their studies.
In order to ensure that LSS equipment remains accessible to all students and in good working condition, all students must be aware of and agree to the terms and conditions of hire.
If you do not follow these terms and conditions your actions will lead to a ban.
2. Failure to Adhere to the Terms and Conditions of Equipment Hire
Failure to adhere to the Terms and Conditions of Equipment Hire may result in you being denied access to equipment hire in the future. You may be liable for the costs of lost, stolen or damaged equipment (Section 8) and referral to the University’s Student Discipline Procedure.
Failure to engage with the process will result in a referral to the formal Student Disciplinary Procedures.
The Formal Student Discipline Procedures and Code of Behaviour is available at: https://www.ljmu.ac.uk/about-us/public-information/student-regulations/guidance-policy-and-process
3. Booking
Responsibility and accountability for each booking will rest with all students named on the booking. When booking equipment for a group, a group representative must be nominated but all members of the group will still be accountable.
For the remainder of these terms and conditions, the terms “you” and “your” will mean all students named on a booking.
Under no circumstances should equipment be exchanged between groups or other students that are not named on the booking.
We reserve the right to restrict equipment quantities when booking as a group. This is to ensure reasonable availability for other users.
By making a booking you are confirming your intent to borrow equipment of the type and for the duration specified on the electronic booking form.
4. Period of Loan
Equipment is loaned for a maximum of three working days. If you need an extension please contact the stores technician.
The equipment must be returned at the agreed time and date. If for any reason you are unable to return equipment at the arranged time you must contact the technical staff prior to the expiration of your booking.
To notify a late return contact 0151 231 4000 or LSS.Techs@ljmu.ac.uk between 09:00 and 17:00.
If your booking cannot be temporarily extended, you will be expected to make whatever provision is necessary to return the equipment on time. If you do not follow this rule you will be have your access to kit limited.
5. Collection
You are responsible for checking your booked equipment thoroughly and ensuring that it functions to your satisfaction, and that you have all associated accessories and kit before leaving the LSS building. Any missing items must be reported to the technical staff at the point of collection.
6. Security and Safe Use
You are responsible for the security of the equipment at all times between collection and return to the storeroom at LSS. If it is to be left unattended for any period of time, it should be locked securely out of sight. For example, equipment should not be left in an unattended vehicle or in common areas of shared accommodation.
The equipment must not be subjected to any unnecessary harm or risk. These include being held at height or in unsecured positions, or exposed to conditions that may cause damage such as water, rain, sand, freezing conditions, high humidity or condensation.
7. GDPR compliance
All LJMU students have a legal responsibility to protect the university’s data. This data includes any recordings you create for use in your course work, whether on LJMU equipment or your own equipment. The following process will ensure that all students are compliant with the university’s GDPR obligations as they apply to portable recording devices.
All LJMU cameras and audio recorders are supplied with an SD card. Because it is not possible to encrypt or protect these cards, their data is potentially viewable by anyone in possession of the card. Should this data fall into the wrong hands, LJMU would be in breach of GDPR. This applies to any card or storage device being used for LJMU work, even those you own yourself.
To prevent this, each SD card must be reformatted:
(a) on collection of the equipment,
before you start recording.
and
(b) on return of the equipment after you have transferred the files to a secure
storage location, such as Editshare, etc.
While in possession of an LJMU SD card please ensure that you minimise the risk of it falling into the wrong hands.
8. Lost, damaged or stolen equipment
You may be responsible for paying the repair / replacement costs of any equipment that is lost or damaged while in your possession. This includes minor parts such as cables, lens caps, tripod plates, etc.
You may also be responsible for paying the replacement costs of any equipment that is stolen, if it is deemed that your negligence contributed to the theft. You must report all thefts to the police and obtain a Crime Reference Number.
